Scene items (also called scene elements) are any objects, materials, elements, or equipment needed to realise a scene. Managing them across departments can be complex, but Dramatify makes it structured, trackable, and collaborative.
Dramatify’s scene item management gives you:
- Smart mobile-friendly workflows
- Department-based access and permissions
- Lists you can filter, sort, and search to match each team member’s needs
- Item data automatically displayed on sets, characters, and in the breakdown
Where to Manage Scene Items #
You can add and manage items in several places, but the primary hub is Scene items in the sidebar. Items can also be added or edited through:
- The script breakdown
- The scene items section
- Individual character pages
- Individual set pages
Permissions & Access #
You control who can view or manage items through crew → hover the upper right corner of a team member’s card → Edit.
Options include:
- Read-only: View scene items + Day out of Days
- Full access: Add, edit, delete all items
- Partial access: Department-specific management (Art, Graphics, Wardrobe, Makeup & Hair, Props, Set Design). Users can edit only their department’s items but see others read-only.
Combining Permissions #
You can pair limited item access with partial breakdown access.
Example: A Wardrobe designer with “Items – Wardrobe” + “Breakdown (read-only)” can:
- View the full item list
- Add, edit, delete Wardrobe items
- Read the breakdown
Working in the Scene Items List #
If you need to search, filter, edit, or bulk-delete items, go to Scene items in the sidebar.
- Default sorting shows newest items first; click column headers to reorder.
- Combine filters to narrow your list precisely.
- Edit items using the pen icon on the right side.
- Delete single items or bulk-delete selected items by checking the box before the title.
Note! Using Select all deletes only items included in the current filtered view, not all items in the production.
Adding or editing scene items #
Adding Items in the Script Breakdown #
The breakdown is often where scene item work begins (typically by the AD). With full breakdown access, a team member can manage all elements; department, while restricted users can manage only their department items. Learn more about working in the script breakdown.
Adding Items in the Scene Item list #
Click the Add Item button in the upper right corner. The pop-up form will look slightly different depending on your selections.
Item attachment #
Items can be attached in three ways:
- Items Attached to Characters: These appear automatically on the character page and give Wardrobe, Makeup & Hair, and Props full visibility.
- Persistent: Always follows the character (glasses, wheelchair, special makeup). Automatically added to every scene the character appears in.
- Non-persistent: Only used in selected scenes.
- Items Attached to Sets: Furniture or recurring environmental elements stay with the set and auto-populate into all scenes using that set.
- Items Attached to Scenes: Use this for items relevant only in a single scene or a small group of scenes.
Scripts & Scene numbers #
If you attach items to Characters or Scenes, you can select your episode script and write the scene numbers the items should appear in.
Tags & Options #
Tags: Use tags to organise items for easy retrieval. Tags can be used to mark which items belong to a certain prop storage or which should be brought to a certain location.
Options: Use options to list different options: red, green, blue; or different brands: H&M, Zara, Mango. Click the star to mark which alternative you select.
Managing Items on Set and Character Pages #
Set Pages #
Go to Sets & Locations, select a set, then scroll to Items, Props & Decor.
Users with set-management permissions can:
- Add new items
- Edit or delete items
- Filter by department
The set page can function as a standalone breakdown for productions that prefer not to give team members breakdown access.
Character Pages #
Go to Cast & Characters, select a character, and scroll to Items / Props / Attributes.
Users with character permissions can:
- Add new items (add scene/episode numbers for non-persistent items)
- Edit or delete items
- Filter by persistent/non-persistent
- Filter by department
This section can also function as a standalone character breakdown.
Working with Scene Items on Mobile #
Dramatify is fully mobile-friendly, allowing you to:
- Bring your scene item list to stores or rental houses
- Manage items on set
- Add or edit items while commuting or between locations
